General Terms and Conditions

Individual room reservations can be cancelled free of charge up to 24 hours before arrival. In the event of a no-show or late cancellation, we charge for the first night. The Uniform Conditions Horeca apply in all other terms and conditions.

The terms and conditions below apply to group bookings and meetings.

Reservation status
When you make a request, we will send you an offer and place an optional reservation. Optional reservations remain valid until the date stated in the quote. If we receive a second application during the option period, we will ask you to decide whether you want to make the option final. Are you satisfied with the cost estimate and do you agree with our reservation and payment conditions? Then you can finalise your optional reservation by signing the offer or expressing your approval by e-mail.

Prices
All prices include VAT and are subject to price changes.

Advance and payment conditions
For meetings with a reservation value of more than € 2,500, we ask you to pay 50% of the total amount 1 month before the arrival date. We will deduct the down payment from the final invoice. If you cancel the reservation, then we down payment the deposit with the cancellation costs.

You will receive the final invoice by e-mail after the meeting. We use a payment term of 14 days for this. If we have not received the payment within 30 days, the statutory interest, pursuant to Article 6:120 of the Dutch Civil Code, will be charged on the invoice amount. All costs, both judicial and extrajudicial, are at the expense of the debtor. These costs amount to 15% of the invoice amount and at least €30.

Cancellations
In case of cancellation of the entire or partial reservation, the following cancellation terms and conditions apply.

Meetings and/or hotel rooms can be cancelled free of charge up to 6 months prior to arrival. In the event of cancellation within 6 months of arrival, Conference Hotel Kontakt der Kontinenten will charge the following percentages of the total reservation value.*

  • between 6 and 3 months before arrival: 10%
  • between 3 and 2 months before arrival: 15%
  • between 2 and 1 month before arrival: 35%
  • between 1 month and 14 days before arrival: 60%
  • between 14 and 7 days before arrival: 85%
  • within 7 days of arrival: 100%

Changes
If you change the date of your reservation, this will be considered a cancellation of the original reservation.

  • An exception to this is changes in the number of participants in a reservation. Up to 48 hours before the start of the meeting, the number of participants may be reduced free of charge by up to a maximum of 10%.
  • Changes in the number of participants may affect the reserved room size and the associated requirements.
  • An increase in the number of participants is possible, as long as it fits within the reserved rooms and the restaurant capacity.

Guaranteed number
Once a reservation has been adjusted by 10% or a guaranteed number has been agreed upon, this (adjusted) number will apply as the guaranteed number. The guaranteed number applies to the reserved arrangements.

By guaranteed number, we mean the agreed minimum number of participants that will be charged on the invoice.

The UVH are binding for everyone who uses our services. Different terms and conditions may apply to third-party services (services hired externally by Kontakt der Kontinenten, such as audiovisual resources, guided activities and/or entertainment). Please enquire about the conditions.

*This also applies to partial cancellations. In the event of a partial cancellation, the percentages mentioned above will be charged on the cancelled portion.
